Registration Period

The registration pages will remain open until July 19th. However, to enable event organizers to monitor and control attendance, and provide services only to those who pay registration fees, the cutoff period for registering for any particular event is the end of the day on Thursday preceding the week during which the event begins. This means that the following cutoff dates will be enforced.

How Were Registration Fees Determined for Virtual ICSE 2020?

In the interest of transparency, and at the request of the ICSE Steering Committee, we want to explain how the registration fee schedule for ICSE 2020 was determined.

The ICSE 2020 Emergency Response Committee, in conjunction with the ICSE Steering Committee, IEEE, and ACM, spent many hours exploring various fee options and discussing the implications of these options. While there were many trade-offs to consider, we ultimately settled on two guiding principles. First, we believed that it was important to balance the budget, and second, we wanted to make the conference as accessible as possible to as many people as possible.

ICSE 2020 had been building toward a physical event for over three years when the COVID-19 virus suddenly exploded onto the world stage. For this reason, considerable costs had already been incurred; these include (among others) costs for conference management services, web services, publications, registration services, travel by organizing committee members, and unfortunately, cancellation penalties. Some of these costs would be incurred by a purely virtual event, but many would not be incurred for an event that was planned as a virtual event from the start. However, we did not have the luxury of knowing from the start that we would be holding a virtual conference, and we are still responsible for all of these costs.

To balance a budget prior to an event one must predict what the attendance for that event will be. Predicting attendance accurately for the rescheduled version of ICSE 2020 was virtually impossible, however, because there is no precedent to the current situation ICSE is in to draw on. We researched other ACM and IEEE conferences that were in similar situations, but this was not particularly helpful because there was a vast discrepancy among their fee structures; many has set their author fees substantially higher than those we have ultimately settled on, while many had set their author fees substantially lower.

Ultimately, given that authors benefit from having their papers published, we chose to set the registration fee for authors to a substantially higher amount than that for non-authors, and we based that fee on one of the few numbers we knew: the numbers of authored papers included in the program. Given that we had previously set a fee structure that required a full registration to be provided for each paper but did not require any author to pay an extra fee for multiple papers it also seemed necessary to retain that requirement. Nonetheless, the author registration fee we have settled on is roughly one third that of the original registration fee; and authors’ costs no longer include those associated with travel and lodging.

In order to be true to our second principle, we chose a much lower rate for non-authors than for authors. This was done — as the principle states — in order to make the conference accessible to as many persons as possible, and in the hopes of attracting new attendees to ICSE. We hope that these rates help ICSE achieve that goal.

We know that not everyone may agree with the choices we have made in setting registration rates for Virtual ICSE 2020. We hope, however, that people will understand that this ICSE has faced a completely unprecedented situation with little or no historical data to rely on. Moreover, the entire ICSE 2020 organization was asked to turn a conference that had been planned and budgeted as a physical event for over three years into a virtual event in just a little over three months, with no real fee schedule precedent and no real applicable data to predict attendance given different choices of fees.

Finally, we have overheard arguments that ICSE 2020 is setting an unfortunate precedent for future conferences by setting fees as we have done. To that we can only say this: the only precedent we are setting for future ICSEs in choosing these fees, is a precedent that would inform the organizers of a conference which, only a few months prior to its scheduled occurrence, must suddenly be transformed — due to an unexpected global catastrophe — into a virtual conference. We pray that such a precedent will never, ever, need to be considered again.

Ultimately, we hope that the data we are able to gather from this edition of ICSE, at the registration rates that we have chosen, will help future editions of ICSE that have more time to prepare for virtual or hybrid conference structures select fee structures more accurately and more easily. And ultimately, we do believe that those who choose to attend ICSE 2020 will find the event of value sufficient to justify the chosen fees.

Explanatory Notes:

  1. For the Main Conference, for each published paper in the Proceedings for the Technical Program, NIER, SEET, SEIP, and SEIS tracks, one of the Authors of that paper is required to register at the “Authors” rate; however, different papers do not each require unique authors to register for them. This “Author” requirement does not apply to presenters of Journal First papers, Demos, or Posters. If you are presenting a Journal-First Paper, a Demo, or a Poster, you may register at the appropriate Non-Author rate (unless, of course, you need to register as an Author for some published paper, in which case, that registration fee covers your full participation in any other presentations.)

  2. Registration for Co-Located Events is per Event. For each event, for each published paper in that Co-Located Event’s proceedings, one Author of that paper is required to register at the “Authors” rate. All other persons may register at the Non-Author rate.

  3. Registration for Workshops (with the exception of special workshops, discussed in the next item) is done in “bundles”. You may select between one and four Workshops for a single specified fee. However, for each Workshop, for each published paper in that Workshop’s Proceedings, one Author of that paper in that Workshop is required to register at the “Authors” rate. All other persons may register at the Non-Author rate.

  4. Registration for the three special ICSE Workshops (The New Faculty Symposium, the Doctoral Symposium, and the Student Mentoring Workshop) is handled separately from registration for other Workshops, and participants must register for each of these separately. Registration fees for the New Faculty Symposium and Doctoral Symposium events are set to the Non-Author registration rate. Registration for the Student Mentoring Workshop is free (but you must register in order to attend).

  5. Not all Workshops that had originally planned to join ICSE 2020 have elected to join Virtual ICSE 2020. Registration fees are assessed only for those Workshops that have chosen to join, and only these Workshops are listed on the Registration pages. If you are interested in a Workshop that is not listed on the Registration page, contact the organizers of that Workshop directly.

  6. If you are an Organizer of an ICSE 2020 Co-Located Event or Workshop, to allow you to monitor and control attendance, we will provide information on your registrants to you as soon as possible following the closing date for registration to your event. (Contact the registration company at the address below for earlier updates.)

  7. If you have previously registered for the original ICSE 2020 program scheduled for May, and if you have not yet canceled that registration and received a refund of your fees, any prior balance of your payments that is being held by ICSE 2020 will be accounted for when your registration for Virtual ICSE is processed, provided that you register for Virtual ICSE no later than the last of the three cutoff dates, which is July 9. If your prior registration fees exceed the amount that you are required to pay for your registration to Virtual ICSE 2020, you will receive a refund of the difference. Registration Fee Includes

Attendance of all sessions associated with the events that you register for, and full participation in any interactive events (chats, question and answer sessions social events, and so forth) associated with those sessions.

Cancellation and Refund Policy

If you wish to cancel a prior registration to ICSE 2020, that was made before the physical conference was canceled, please contact the registration company at the email address listed below. (Please first read the following note.)


For those of you who registered for the physical conference and have not yet requested refunds, we have adjusted the registration details to those for the virtual version to account for this. You may access the current registration system to check on the adjustments that have been made to your registration by using the same credentials (E-mail / Password) that you used previously. In this case, you do not need to register again, yourself, but just check the adjustments for correctness. If you see any errors please inform our registration staff ( by June 19th. An email about this process has been sent to each of the email addresses we had on file from the prior registration process. Refunds will be made after you have checked the new registration details in the system.

You may cancel any registrations that you make for any Virtual ICSE 2020 events up until the cutoff dates for those events (listed above). To do so, please contact the registration company at the email address listed below.

Due to the changes in registration processes and fees that ICSE 2020 has been forced to implement, and due to the complexities involved in handling these, it is possible that despite all of our efforts made to test the registration system, errors may occur in the online processing of registration refunds.
